Starting asap, support the execution of marketing and promotional activities leading up to and during the event
assist with social media content creation and posting, capturing photos and videos on-site, supporting outreach to creators and partners, updating website content as needed, and helping with the preparation and distribution of marketing materials such as posters, tickets, and badges
may help respond to social media messages and website enquiries
ideal for individuals who are creative, organized, and eager to gain hands-on experience in event marketing
Pre-event: Community Outreaching Helpers
starting in July, acts as a bridge between an organization and the public, focusing on engagement, education, and support
to increase visibility, provide resources, and build trust within the community and promoting the event
Pre-event: Promotion Booth, Giveaway, Design Helpers
during August and September, act as ambassadors of the AsiaFest at pre-event promotion booths, to promote event to the community
may involve art & crafts, booth design, and painting for promotion of the event
Pre-event: Construction Helpers
design and build decoration, food booths, and other materials 2 months before the event, so we can transport them 2 days before the event and set up
Pre-event: Logistic Helpers

few weeks before the event or July to September, supports the team in gathering, maintaining, setting up, and repairing moveable items used during events, performances, or film productions

set up all materials within 1.5 day before event
Event Day: Main Stage Helpers
support the Main Stage Manager in the operation and setup of the stage and the necessary equipment, as well as assisting in coordinating between performers, festival goers and AsiaFest volunteer teams
ideal for those who have an interest in working with Audio/Video equipment, communicating across different teams and performers, supporting something big behind the scenes and eager to gain hands-on experience in stage
operations or those who would like to apply their technical theatre experience in a real-world scenario
Event Day: Performance Helpers
act as the primary liaisons for artists on the day of the event, ensuring they have everything they need for a successful show, following up with performers upon arrival, assisting with their pre-show preparations, and providing dedicated on-the-ground support to handle any immediate needs
guiding talent through the backstage process and keeping them informed of their schedule, you play a vital role in ensuring the performances run smoothly and that the artists feel supported throughout the festival
Event Day: Cultural Plaza Setup Crew and Decoration Assistants
moving equipment like mics, amps, and props on and off stage between acts
putting up banners and backdrops, secure décor with zip ties or tape, and make sure nothing damages the venue
Event Day: Cultural Plaza Runners and Tech Helpers
running errands-grabbing water for performers, fetching batteries, relaying messages between the coordinator and the manager
running XLR cables, test mics with a quick "check check," and point out trip hazards on the floor
Event Day: Art Direction Setup Helpers
support the preparation and arrangement of event spaces to ensure the venue is organized and ready for festival activities
set up decorations, tables, signage, and equipment according to layout plans, assisting with moving materials, and ensuring all setup tasks were completed safely and on schedule
work collaboratively with team members to create a welcoming and functional environment for performers, vendors, and attendees
Event Day: Eating Contest Helpers
ensure the safety, fairness, and flow of speed-eating events, involves counting and tracking, delivering trays of food to contestants to ensure contestants do not run out, safety monitoring for signs of distress, such as choking, ensures water and condiments are replenished and help manage the cleanup
Event Day: Patrol and Crowd Control Helpers
patrol the event site to ensure pathways remain clear, report any safety hazards, and assisting with lost children
direct attendees to free parking locations at Currents of Windermere and assisting with traffic flow, and guide attendee flow, ensuring walkways remain clear, and directing people toward stages, food stalls, and exits
actively patrol to monitor for, and report, dangerous overcrowding or surging, particularly in high-density areas
After-Event: De-construction Crew
take down all materials and load them up onto truck in the shortest time possible after the event, usually within 2 hours
day after Event logistic - return all rental equipment to warehouse and companies, check site for any last-minute touch up
